Refund & Cancellation Policy

The Bardhaman Obstetric & Gynaecological Society (BOGS) is committed to providing a transparent and fair policy for membership, conference registration, workshop registration and other paid services available through its website.

Please read the following policy carefully before making any payment.

1. Conference & Event Registration

Registration fees paid for conferences, workshops, seminars or other events are subject to the cancellation and refund terms specified for the respective event.

The applicable refund amount may depend on the date on which the cancellation request is received.

Suggested cancellation structure:

• More than 30 days before the event: Up to 75% refund of the registration fee.
• 15–30 days before the event: Up to 50% refund.
• Less than 15 days before the event: No refund.
• No-show: No refund will be provided.

Any applicable payment gateway or transaction charges may be deducted from the refundable amount.

2. Membership Fees

Membership fees paid to BOGS are generally non-refundable once the membership has been approved or activated.

If an application is rejected or cannot be processed due to reasons attributable to BOGS, the applicable amount may be refunded after deduction of any non-refundable payment-processing charges.

3. Cancellation by BOGS

If an event is cancelled by BOGS, the Society may provide a full or partial refund of the registration fee, as applicable.

If an event is postponed or rescheduled, the registration may, at the discretion of BOGS, be transferred to the rescheduled event instead of being refunded.

4. Event Date or Venue Changes

BOGS reserves the right to change the event date, venue, speakers, scientific programme or schedule due to administrative, operational, medical, governmental, safety or other unavoidable circumstances.

Such changes will not automatically qualify for a refund where an alternative arrangement or rescheduled event is provided.

5. Refund Request

To request cancellation or a refund, the registered participant should contact BOGS using the official contact details provided on the website.

The request should include:

• Full Name
• Registration/Membership Number
• Registered Email Address
• Mobile Number
• Transaction/Payment Reference Number
• Reason for cancellation
• Bank/UPI details, where required for processing the refund

6. Refund Processing

Once a refund is approved, the amount will normally be processed through the original payment method used for the transaction, wherever technically possible.

Refund processing time may depend on the bank, payment gateway or other financial institution involved. BOGS will not be responsible for delays caused by third-party payment providers or banks.

7. Duplicate or Failed Transactions

If an amount is debited more than once for the same registration due to a technical or payment-processing error, the duplicate amount may be refunded after verification.

For a failed transaction where the amount has been debited but the registration was not successfully completed, the transaction will be verified before initiating an applicable refund.

8. Transfer of Registration

Where permitted by the particular event, a registered participant may request transfer of registration to another eligible participant before the specified deadline.

Such requests are subject to approval by the BOGS organizing committee and applicable event rules.

9. Non-Refundable Charges

Payment gateway charges, transaction fees, administrative charges or other third-party costs may be deducted from any approved refund where applicable.

10. Exceptions

BOGS may consider exceptional refund requests on a case-by-case basis, particularly in circumstances beyond the participant's reasonable control. Approval of such requests remains at the discretion of the organizing committee.

11. Policy Changes

BOGS reserves the right to modify this Refund & Cancellation Policy from time to time. The updated policy published on the website will be applicable from the date of publication.
